APPLICATION FOR INFORMATION FROM SERVICE RECORDS

The Coldstream Guards Records are the records of former members of the Regiment. They are not computerised and there is no central index. They are physically checked by the archivist and as you can imagine, searching for records is often a long and difficult task. Please be aware that as a result of enemy action during WWII many of our records are missing and I cannot guarantee to find the information requested.

ARE YOU ENTITLED TO HAVE THIS INFORMATION?

The disclosure of information from our records is governed by Ministry of Defence policy designed to protect the interests of ex-servicemen and their next of kin. This policy is as follows:

  • If the ex-serviceman is alive we will only give information to him personally unless he gives us written permission to disclose it to another person.
  • If the ex-serviceman has died, the details of his service may only be disclosed to the official next of kin. In this case please complete the attached certificate of kinship and return it to the address above. If the enquiry is pre 1921 you are not required to complete part one of this section.
  • We do not receive any official funding for maintaining the archives, so we are obliged to make a charge of £35** per search in advance. This can be in cash, cheque or postal order, whether the search is successful or not. Please note that cheques from overseas must be drawn on a bank in the United Kingdom (The London branch for foreign banks). Your cheque or postal order should be made payable in POUNDS STERLING to COLDSTREAM GUARDS CENTRAL BANK.

YOU MUST PROVIDE US WITH SUITABLE INFORMATION

To help us find the correct records relating to your enquiry please download and save the search document from the options below. Fill it in, print it and then return it to this Headquarters, by post, along with a stamped addressed A3 envelope and your cheque made payable as listed above.

2. SEND COMPLETED FORM WITH CHEQUE;

Your cheque or postal order for £35** should be made payable in POUNDS STERLING to COLDSTREAM GUARDS CENTRAL BANK.

3. POST EVERYTHING TO THE ADDRESS BELOW AND ENSURE THAT YOU INCLUDE;

a) The completed Archive Application Form

b) The Cheque, signed, dated and filled correctly

c) An A3, Stamped, Self Addressed Envelope.
